Community Director Supervisor

General Functions
The Community Director Supervisor provides direct supervision to the Community Directors on an assigned property team in addition to performing community director duties for a small property of their own. The Community Director Supervisor reports to the Manager, Rental Properties and assists in the annual financial planning process, conducts periodic property inspections, resolves resident issues, and provides support to the property teams. This position works closely with the Rental Property Eligibility Supervisors as well as the Maintenance Supervisors to coordinate tasks and activities that overlap these individual areas to find efficiencies for streamlining tasks and provide efficient customer service.
Major Activities (Typical Duties/Responsibilities)
· Provides coaching and supervision for Community Directors and Assistant Community Directors on an assigned team, including performance evaluation, and works with Human Resources for recommendations of disciplinary action and performance improvement.
· Performs regular on-site check ins at each rental housing site to provide support to staff, review tenant receivables, inspect units and common areas and meet with residents, and provide appropriate supervisory guidance.
· Supports Resident Engagement activities at assigned properties and assists Community Directors and Resident Engagement Coordinator with coordination of resident activities and communication to promote good resident relationships and facilitate resident activities.
· Completes the day-to-day property management tasks as the Community Directors at their assigned property to include rent collections, inspections, tenant relations and legal notices
· Meets regularly with the Rental Properties Eligibility Supervisor to coordinate and streamline cross functional tasks between Eligibility and Rental Properties to maximize efficiency and customer service for residents. This includes tasks such as notices, move-ins, and AR approvals.
· Meets regularly with the Maintenance Supervisor to review work orders, VFW completions, and to problem solve variances between Community Directors and Maintenance staff regarding work to be completed at their properties.
· Walk vacant units with Maintenance Supervisor and do property inspections on a quarterly basis together to address any issues or trends.
· Provide on boarding to new employees including CIHA policies and procedures training.
· Assists Manager, Rental Properties with the preparation of the annual financial plan for assigned properties and reviews monthly financial performance with the Manager, Rental Properties and Community Directors.
· Performs routine property inspections on a bi-weekly basis and coordinates repair work and potential lease violations with the Community Directors and Maintenance Supervisors.
· Monitor rent collections and delinquent accounts, ensuring all reasonable efforts are made to collect revenues.
· Establish and maintain pro-active positive relationships with residents, addressing tenant issues, concerns, needs, service, and programmatic desires. Troubleshoots resolution of resident and property issues with Community Director and other staff as appropriate.
· Counsels and coordinates with Community Director and Legal on Notice of Lease Violations and Notice of Terminations delivered to tenants, ensuring all documents are consistent with CIHA policies and state and local landlord-tenant laws, and NAHASDA.
· Conducts petty cash audits, cable audits and other routine reporting and prepares quarterly audit reports.
· Complete the initial approval of all invoices for the assigned properties in TenMast.
· Review rent rolls monthly including all rent changes with ledger adjustments for accuracy.
· Performs other related duties as assigned
Skills and Abilities
· Excellent attention to detail with the ability to adapt quickly, multi-task, prioritize and manage multiple activities in a deadline-driven environment.
· Outstanding interpersonal skills, including the ability to establish and maintain cooperative and effective working relationships with a large demographic, all levels of staff, management, outside agencies, partners, and the public.
· Knowledge of routine office procedures, computers, and office equipment.
· Working knowledge and understanding of property management software systems or similar technology such as TenMast.
· Advanced computer skills and strong knowledge of Windows, Microsoft Office Suite, to include Word, Excel, and Outlook to create reports and schedule meetings.
· Ability to gather and classify data and prepare accurate, concise, and meaningful reports.
· Working knowledge of HUD procurement and housing regulations.
· Working knowledge of LIHTC affordable housing regulations.
· Knowledge of Alaska landlord-tenant laws.
· Ability to problem solve multiple issues and or situations positively and proactively.
· Ability to supervise staff in a team environment and build positive working relationships.
· Ability to professionally and effectively communicate in writing and verbally with outside organizations and individuals in a manner that supports CIHA mission.
Education and Experience
· College graduate with a degree in business administration or other area related to property management, work experience can be substituted on a year for year basis.
· Demonstrated supervisory experience of property management staff or similar level staff
· Current Alaska Driver’s License and clean driving record.
