What You’ll Do
As the Administrative Services Supervisor, you’ll work with the Administrative Services Manager as the central hub of our administrative operations, supervise staff, manage front desk operations, and keep our systems humming with precision and care.
- Supervise and mentor administrative staff and interns
- Manage front desk operations, staffing, and scheduling
- Act as property liaison in manager’s absence, interacting with third-party vendors, property management team members, and first responders
- Support recruitment and onboarding of new staff
- Oversee mail, email, fax, and phone communications
- Maintain fleet vehicle records and registrations
- Assist with event logistics and executive transportation
- Facilitate monthly admin meetings and intern evaluations
- Ensure accurate invoice coding and reconciliation
- Train staff on CIHA systems and standardized processes
- Maintain emergency supplies and collaborate on evacuation procedures with Safety Team members
What We’re Looking For
Think you’ve got what it takes? Here’s what we’re after:
- Solid understanding of standard office procedures and computer operations
- Proficient in Windows OS, Microsoft Office Suite, and database systems
- Strong problem-solving skills with the ability to assess and act on multiple challenges
- Excellent communication, interpersonal, and organizational abilities with keen attention to detail
- Experience working respectfully and compassionately with individuals from diverse cultural and economic backgrounds
- Proven ability to supervise and support staff effectively
- Skilled in project coordination, record management, and team collaboration
- Minimum typing speed of 40 words per minute
The Basics
- Education: Associate’s degree in business or related field preferred
- Experience: Minimum 2 years in an administrative role with increasing responsibility, plus 2 years of supervisory experience
- License: Valid Alaska driver’s license required
